Overview
Boulevard ePrescribe allows you to manage prescriptions directly in the client profile with a ScriptSure integration. Once set up, ePrescribe is available in both Dashboard and the Professional App.
Businesses with HIPAA Coverage have the option to use ePrescribe, which includes Aesthetics Bundle, Starter Aesthetics Bundle, Enterprise Bundle, and legacy HIPAA Coverage Add-on businesses. Learn more about pricing for ePrescribe here.
The “Set up prescriptions” permission is enabled for the “Admin” permission group by default. A user needs this permission to set up locations and staff.
This article outlines how to set up your organization, location, and prescribers to be able to write prescriptions.
Keys to a successful setup
Make sure Location Details page has the following information:
Location name (must not exceed 40 characters)
Location phone number
Location address (includes city, state, & zip)
Location fax number
The following client data is necessary for generating prescriptions. To streamline the process, you can use a connected form field on your intake forms to ensure this information syncs directly into ScriptSure:
First & Last name
Date of birth
Sex assigned at birth
Address (cannot exceed 40 characters)
City
State
ZIP
Administrator, Prescriber and Assistant roles
Select one prescriber and one assistant to administer the platform.
When you select “Admin” during ePrescribe user creation, the staff member gains business-wide access and manages all settings and staff in your ePrescribe account.
Important: You can not change the “Admin” user type after inviting the user.
If you are selecting an individual to be an ePrescribe “Admin” and they do not have the “Set up ePrescribe” permission enabled, you will be prompted to enable that permission for their entire permission group before continuing.
Choose your location for initial prescriber setup
Reference the Business Setup Demo for a step-by-step walkthrough of this workflow.
To begin setup, select your first prescriber via the Business or Location ePrescribe tab, and select “get started.”
Manage Business-> ePrescribe
If setting up from the business level ePrescribe page, you will be able to set up ePrescribe for any location.
Select a location and then select a staff member from that location to set up as a prescriber
Manage Location -> ePrescribe
If setting up from the location ePrescribe page, you will be able to set up ePrescribe for that specific location.
Administrator, Prescriber, and Assistant Roles
Reference the Inviting Users Demo for a step-by-step walkthrough of this workflow.
When setting up ePrescribe, you will be required to select one Prescriber and one Assistant to serve as Administrators of the platform. When creating an ePrescribe user, selecting “Admin” grants the staff member business-wide access in ScriptSure, allowing them to manage all settings and staff within your ePrescribe account.
Important: You cannot change the “Admin” user type after inviting the user. If you select a staff member as an ePrescribe “Admin” and they do not have the “Set up ePrescribe” permission enabled, you will be prompted to enable that permission for their entire permission group before continuing.
There are two types of ePrescribe staff roles: Prescriber and Assistant. Once assigned, a staff member’s role cannot be changed and will remain consistent across all locations where they are added as an ePrescribe user.
Prescriber: Can create and manage client prescriptions.
Assistant: Can manage client prescriptions, queueing them up for the Prescriber to approve and send.
The staff member will receive an email from Boulevard to onboard with the ePrescribe platform. If they do not receive the email, you can select the “resend” option under the status column.
Prescribers will complete onboarding through ScriptSure and ID.me.
Assistants will complete onboarding through ScriptSure alone.
If a staff member has already completed the ePrescribe onboarding process at another location within your business, you can add them to another location and they will not need to complete onboarding again.
New Prescriber setup
A prescriber needs the following to complete the onboarding process:
Your NPI Number (10-digit National Provider Identifier issued by CMS)
State medical license number and expiration date
Government-issued ID (driver’s license or passport)
DEA number (if you plan to prescribe controlled substances)
Overview of process
Add fax number to Location Details
Go to ePrescribe settings for Business or Location.
Invite staff member to Prescribe
Prescriber clicks link in invite
Prescriber sets up ScriptSure account
Prescriber completes ID Proofing with ID.ME
ScriptSure completes internal review of prescriber & approves if no issues found
ScriptSure registers prescriber
For controlled substances, a second admin user (Prescriber or Assistant) must be created to approve the EPCS request of the original Prescriber before they can prescribe controlled substances
Prescriber ready to manage medications!
Staff selection
Select a staff member to write prescriptions for your first location. The staff must have an NPI number and, if prescribing controlled substances, a DEA number.
Click “send invite.” The selected staff member receives an email from Boulevard inviting them to onboard to the Boulevard ePrescribe platform.
If your staff doesn’t receive the email, you can select the “resend” option under the status column.
When the staff member clicks the link in the invite email, they will launch into ScriptSure’s onboarding flow to create a prescriber account.
For controlled substances: approve EPCS request
DEA regulations require a second individual to become a practice admin to validate the identity of a controlled substance Prescriber (in either a Prescriber or Assistant role). For help with that process, see this ScriptSure help center article.
Creating a ScriptSure Account via email invite
Reference the Prescriber/Assistants Setup Demo for a step-by-step walkthrough of this workflow.
Follow the link in the invite email to create a ScriptSure account.
Step 1: NPI Eligibility
Enter your personal NPI number. Your phone number and ZIP code will be autopopulated based on your location details in Boulevard.
Confirm you are not a robot
Click “Next”
Step 2: User creation
Your Boulevard user information will be prepopulated. Hit “Next”
Step 3: Identification
Complete all fields required for your Prescriptions, then select “Next”
Your personal NPI
State medical license number
DEA (if prescribing controlled substances)
Detox
State controlled
Step 4: Practice details
Practice details will be prepopulated from Boulevard. Hit “complete signup”
ID Proofing with ID.ME
When a Prescriber has completed the account setup process in ScriptSure, they will need to verify their identity through ID.me. They will need to reverify their identity annually to ensure their credentials and ID are still valid.
If you don’t have an existing ID.ME wallet account, select “Create an ID.me account and begin ID Proofing.” If at any point you get stuck, reference ID.Me’s documentation.
If you already have an ID.ME account, log in to verify your identity.
Identity Verification Approval or reverification
If your self-verification was successful, ScriptSure’s application team will review for final approval. You will need to allow ID.me to send your verified identity information to ScriptSure.
Finish ScriptSure setup
Once you complete the identity verification, you will be navigated back to ScriptSure to finish setup.
If prescribing controlled substances, per DEA regulation, you must set up a second user to complete the registration for the Prescribers. Add a second ScriptSure admin user that is not the prescriber to approve the prescriber (they can be either another Prescriber Admin or an Assistant Admin.)
At the end of an Admin’s onboarding flow, they will see the ability to approve any outstanding EPCS requests for controlled substance prescriber access. Once a prescriber’s EPCS request is approved, they will need to set up EPCS Multifactor Authentication ScriptSure.
Set up EPCS Multi-factor Authentication
Reference the EPCS MFA+ Setup Demo for a step-by-step walkthrough of this workflow.
To set up EPCS multi-factor authentication for writing controlled substance prescriptions, you’ll need to select your user in ScriptSure and select Manage EPCS MFA+
Enabling EPCS Multi-Factor Authentication in ScriptSure
Once your EPCS request is approved by either a Prescriber or Assistant admin at the practice, you can set up EPCS multi-factor authentication to write prescriptions of controlled substances more quickly. With the EPCS MFA, instead of a full ID.ME flow, you can enter a PIN and then authenticate via push notification or authenticator app code. To set up, you will need to set a passcode and then select a default ID.ME multi-factor authentication method.
Select your user profile in ScriptSure and select Manage EPCS MFA+ and “Start MFA+ Registration.”
Set up a passcode that you will use when writing prescriptions
Select your authentication method from your ID.ME options. You’ll then be asked to verify that method
You will know you are successful when you see the attached screen.
Boulevard Security Settings
Two-step verification is required in Boulevard for all ePrescribe users - both Prescribers and Assistants. Prescribers of controlled substances can also to set up EPCS multi-factor authentication in ScriptSure for a faster prescription-writing process.
Each prescriber and assistant will need to enable “Two-step verification” in Boulevard in their My Settings page (see instructions here). It is recommended that you enable “Two-step verification" for all staff at your business. You can do this by going to the Security settings in Manage Business (see instructions here).
In addition to enabling “Two-step verification” each staff member with an ePrescribe account will have a 4 hour session expiration (see session expiration details here) on both your Dashboard and Professional app regardless of your business settings.
Information Syncing & ePrescribe Logs
All location, staff, and client data in Boulevard must match the ePrescribe data. When staff access the ePrescribe screens, the system automatically syncs any information updated on the Boulevard Dashboard or Professional app. Your Boulevard medication and allergy notes do not automatically sync with the ePrescribe platform. You must manually add them.
Any ePrescribe logs will be tracked via ScriptSure records (see ScriptSure article).
Assistant setup flow
Reference the Manage Request to Prescribe Demo for a step-by-step walkthrough of this workflow.
Assistants are free users that support Prescribers in creating and managing prescriptions. If they are an Admin, they can also manage ePrescribe users. Their setup flow is quite simple.
To add an assistant, go to Manage Location > ePrescribe, select “Invite Prescriber” and then select a staff member. Select “Assistant” as their role. Send the invite.
The staff member will receive an email invite with a link to complete setup.
The staff member’s information prepopulates from Boulevard, and the staff member can simply select “Complete Setup” to finish ePrescribe Account Creation.
If any Prescribers need their EPCS request approved, an Admin Assistant will see the option to complete that process upon opening ePrescribe.
