Logging Out, Suspending, and Deactivating Users

How to log out, suspend or deactivate users in the Boulevard dashboard.

Written by Marie London

Overview

Account administrators can manage Boulevard access for all staff members, including logging them out, suspending or deactivating their accounts. This is especially important when a staff member leaves the business, a device is lost or stolen, or access needs to be revoked for security or operational reasons.

To manage a user's account access, navigate to your Location or Business Settings, select Staff, and choose their profile. From here, you can choose one of the following actions:

  • Log Out: End all active sessions for the user on the Boulevard Dashboard and Pro app.

  • Suspend: Temporarily remove access while keeping their profile and future appointments visible for reassignment.

  • Deactivate: Permanently remove access and hide all future appointments from the calendar.

Important: Future appointments are never automatically canceled. You must reassign or cancel them before changing a user’s account status.

The action you choose depends on whether the user’s future bookings need to remain visible on your calendar.

  • If you need to keep future bookings visible so they can be reassigned, suspend the account.

  • If there are no future bookings, deactivate the account.

Step 1: Viewing and Reassigning Future Appointments

Before changing a user's account status, view and reassign their upcoming bookings. There are a few ways to do this, depending on what you need.

Run the Schedule Detail report

To view a list of a staff member's future appointments across a date range, use the Schedule Detail report.

  1. Go to Reports > Schedule & Attendance > Schedule Detail.

  2. Filter by Staff Name.

  3. Set the date range with the start date as today, and the end date as the farthest date in the future that appointments can be scheduled.

  4. Export the report to view or print.

Manage week-by-week on the Calendar
Filter the Calendar to the staff member's week view to see their bookings laid out day by day. Drag and drop an appointment to reassign it to another staff member, or open it to change the assigned provider directly.

Check the staff profile
Open the staff member's profile and select the Appointments tab to see a running log of their upcoming appointments, time, client, status, services, and location, with quick access to cancel or reschedule each one from the list.

Step 2: Managing User Access

Important: For multi-location accounts, any profile changes made at the Business level will apply to all locations. Profile changes made at the Location level will affect only that specific location.

Log Out

  1. Go to Business or Location Settings > select Staff.

  2. Open the staff member’s profile and click the three-dot menu at the bottom right corner.

  3. Select Log Out to end all active sessions across locations.

Once you’ve logged a user out, you can proceed with suspending or deactivating their account. Taking either of these actions will revoke the user’s Boulevard account access and disable them from logging back in.

Suspending Users

  • Open the staff member’s profile and click the three-dot menu at the bottom-right corner.

  • Click Suspend on the user’s profile and reassign any future appointments (if applicable).

Suspended users can be reviewed by filtering the Staff list for “Suspended” accounts.

Deactivating Users

Important: Make sure you reassign all future bookings for service providers before proceeding with account deactivation. Future bookings for deactivated users will be hidden from calendar view, but not canceled.

  1. Go to Business Settings > select Staff. Open the staff member’s profile and click Deactivate.

Deactivated users can be reviewed by filtering the Staff list for “Inactive” accounts.

Reactivating Users

Account administrators can reinstate access to deactivated users at any time by reactivating their account:

  1. Go to Business or Location Settings > Staff.

  2. Change the All Staff filter to Inactive.

  3. Select the staff member.

  4. Click Restore and adjust permissions as needed.

Reinstating Staff Schedule and Appointments

  1. Access the Manage tab in Boulevard.

  2. Navigate to Schedule and re-add the staff member's available hours.

  3. Once their available hours are re-entered, all their previously scheduled appointments will automatically repopulate on the calendar.

Add Staff Back to Locations (If Necessary)

  1. Navigate to the location management section of Boulevard.

  2. Reassign the staff member to the appropriate location(s).

  3. Following this, both the staff member’s profile and their associated appointments will become visible on the calendar.

Automatic Logout

To keep client data secure, we recommend that admins adjust the automatic logout settings to ensure that all users are logged out after a period of inactivity. For HIPAA-covered businesses that store client health information, Boulevard recommends setting the automatic logout to 15 minutes or less. See more about the automatic logout feature here.

FAQs

Will appointments be deleted if a staff member is deactivated?

No, appointments are not deleted when a staff member is deactivated. They are simply hidden and can be restored by reactivating their profile.

What if I cannot see appointments after reactivating the staff profile?

Ensure that the staff member’s available hours have been re-added under the Schedule settings. Without this, their appointments may not repopulate on the calendar.

Why are the staff member and their appointments missing after changing locations?

If a staff member is removed from a location, their profile and appointments will not be visible there. Re-add the staff member to the location to restore visibility.
