Overview

The Schedule Detail report helps you pull a detailed view of your staff's scheduled and completed activities by service, location, and date. It shows one row per slot on the calendar — services with clients and time blocks alike — so you can recreate a staff member's day exactly as it appears on the schedule.

Use this report to print or share daily run sheets for the team, review how an individual staff member's time breaks down across services and gaps, and spot double-bookings or tight turnarounds by scanning slots in time order. It's especially useful for tracking multi-staff appointments, since you can check which appointments list additional providers to confirm coordination and avoid scheduling conflicts.

Note: This report includes both past and upcoming slots exactly as they appear on the calendar — it doesn't mark whether an appointment was completed, cancelled, or a no-show.

Prerequisites

Before using this report, make sure the following are in place. These directly impact whether you can access the report and how accurate the data will be.

  1. Permissions: You must have the appropriate Data & Reporting permissions enabled to see this report: Staff Operations reporting > Schedule & Attendance - Self or Everyone

    • If you don’t see the report, check your permissions first - see Reporting Permissions for more information.

  2. Location and Access Scope: What you see in the report depends on your access:

    • You’ll only see data for assigned locations

    • Row-level access may further limit visible data

    • If it looks like data is missing, verify your location assignments and access settings.

  3. Required Setup: For the report to show meaningful data, shift hours must be published, along with time blocks and appointments scheduled for each staff member.

Report Caveats

There are a few important caveats and limitations to be aware of when using this report. Use these details to better understand how the data behaves and how to interpret it correctly.

Details and Impact

Each row is one slot on the calendar

Every row is a single booked entry: a service with a client, or a time block like lunch or admin time. Reading a staff member's rows top to bottom with Start time and End time recreates their day exactly as it appears on the calendar.

Time block rows have no client

A blank Client name means the row is a time block, not a service. The Activity description shows the reason, such as lunch.

Includes past and upcoming slots

The report shows whatever is on the calendar for the filtered dates, whether the appointment already happened or is still ahead. It does not mark completions, cancellations, or no-shows.

Cancelled entries are not included

Cancelled appointments and cancelled time blocks do not appear in this report. Every row reflects a slot that is, or was, actively on the schedule.

  • Sort by: Staff Name then Start time, then export or print.

Reviewing how a staff member's day is structured

See how an individual's booked time breaks down across services and time blocks and where the open gaps sit.

  • Use default configuration.

  • Filters: Staff Name = the staff member; Schedule Date = the day or week. Read slots in Start time order; gaps between End time and the next Start time are open time.

Spotting double-bookings and tight turnarounds

Scan a staff member's slots in chronological order to catch overlapping bookings or back-to-back services with no turnover time.

  • Use default configuration.

  • Filters: Schedule Date = the day; Location Name = the location.

  • Sort by: Staff Name then Start time; overlapping time windows or zero-gap transitions under one staff member are the flags. (Overlaps are visible, by reviewing the start times not flagged automatically.)

Multi-Staff Appointment Tracking

Review appointments that involve multiple providers to ensure coordination and avoid scheduling conflicts.

  • Use default configuration.

  • Columns: add Other providers.

  • Filters: Schedule Date = the day. Rows with a populated Other providers list are the shared appointments.
