Overview
Boulevard supports Virtual and Phone appointments alongside your standard in-person visits. Offer a video consultation, a phone check-in, or both — clients can find their joining instructions in their appointment confirmations, reminders, or in client portal, no separate booking tool required.
Boulevard does not include a video conferencing platform or phone line. You'll need your own video platform (such as doxy.me or Zoom for Healthcare) and/or business phone service to host the visit itself. If you need help with your video platform or phone, reach out to your provider.
Setting up a service for virtual or phone visits
Go to Manage Location > Services > [service name] > Service Details. Under Service types, choose whether the service supports Video, Phone, and/or In-person visits. You can also specify and whether staff can book online, or if only staff can book these appointments. If multiple service types are supported, clients and staff can choose their preferred service type at booking. Scroll to the bottom of the window and Save changes.
Not seeing the ability to set a visit as virtual or phone? Make sure you are under Manage Location > Services. The Manage Business > Services settings will not allow you to adjust the appointment type.
Enabling staff to take video appointments
Each staff member who hosts video visits needs their own meeting link saved to their profile. Go to Manage > Staff > [staff name] and add the video link for their meeting room on the platform of your choice. Add joining instructions that will be shared in the client portal, so they can access their video appointment. We recommend utilizing waiting room features on your video platform (usually defaulted on) to ensure clients don’t join the appointments of others.
Once the staff has a meeting link, update their assignable services to include the video services.
Staff booking (Dashboard & Professional App)
When creating a new appointment, staff can choose the service type: In-person, Video, or Phone. Boulevard defaults to In-person, then Video, then Phone if more than one is available for the service. If the selected staff member doesn't have a virtual link saved, you'll see an error and won't be able to book them for a video visit. For phone visits, if the client doesn't have a phone number on file, staff can enter one manually, with the option to save it to the client's profile.
An appointment can only be booked with one service type— you can't mix virtual, phone, and in-person within a single appointment.
Example of default - a service with both video and phone types will both show the video camera icon on the New Appointment window. You’ll be able to select phone at the next step if you prefer.
Client booking (self-booking online)
If a service allows multiple types and is bookable online, clients choose Video, Phone, or In-person themselves. If there is only one service type, clients won't be asked to choose. See The Client Booking Experience for the full self-booking flow.
On the calendar and in appointment details
Virtual and phone appointments show distinct icons on the Calendar, Schedule, and Front Desk views, and in appointment history — see Appointment Status Icons. Appointment details show whether the visit is virtual (with the meeting link), phone, or in-person.
Client notifications
Clients booked into a virtual or phone appointment receive a virtual visit reminder (email and/or SMS) with a link to join from their Client Portal. See Client Notifications for setup.
Permissions
Managing which services support virtual/phone visits requires the Services: View & Edit or Services: View, Create, & Edit permission. Joining a visit hosted on someone else's link is controlled by a staff member's appointment permissions — if they can view the appointment, they can join (useful when a medical assistant needs to join a medical director's call). See Granular permission groups.
Audit log
Boulevard tracks when a virtual link is added to a staff profile, and when virtual service settings are edited. See Audit Log.
What's not included
Group appointments, double-booking, and combining multiple service types (virtual, phone, in-person) within one booking are not supported. Boulevard also does not provide the video conferencing platform or phone subscription itself.
