A guide to the most common Medspa report customizations

Welcome to our guide on the most commonly requested summary reports for Medspas.

In this article, we’ll cover everything from simple, ready-made summaries to more advanced, customized reporting options. If you’re new to Boulevard’s reporting tools, be sure to check out our Getting Started with Reports guide first to learn the basics

If you are using an unsupported commission structure like commission based on profit, ensure that commission overrides are set to 0% and those comission amounts are calculated with a customized report like the Calculate Staff Commissions Based on Profit (Using Product Costs)

To see a break down by line item for specific type of commission, choose the applicable type commission report (i.e Services, Products, Memberships, Packages, Tips)

Customized Reports

Track the Cost of Products tied to Services

Create a custom report to track the cost of professional products, including neurotoxins and fillers, used in services.

1. Start with the Detailed Line Item Report Template

  • Open the Detailed Line Item report.

  • In the top-right date picker, select the date range you want to analyze.

2. Customize the Report

  • Click Customize Report.

  • Set the following options:

    • Report Data: Service Name

    • Rows Grouped By: Service Product Usage Name

  • Add the following column:

    • Service Product Usage Cost

  • Rearrange the columns so Service Product Usage Cost appears next to Net Services Sales for easier comparison.

3. Save the Layout

  • Click Save Changes in the top-right corner.

4. (Optional) Rename and Organize the Report

  • Click Edit next to the report title.

  • Rename the report for clarity — for example:
    “Neurotoxin & Filler Product Cost Analysis”

  • Add it to the appropriate folder for easy access in the future.

💡 Tips:

  • If you don’t see any values in “Service Product Usage Cost” Make sure each product has a unit cost entered in its product profile within Manage Business Settings.

  • To export the report for further analysis: Select the three dot menu ➝ Export (CSV)

  • Add a filter for Line Item Type to include only Services, or use the Net Service Sales column to ensure you’re viewing only service-related sales—excluding gratuities and other non-service data.


Calculate Staff Commissions Based on Profit (Using Product Costs)

Medspas can use this report to calculate each provider’s net service sales and product costs, allowing commissions to be based on profit rather than net sales for more accurate compensation calculation outside of Boulevard.

1. Start with the Detailed Line Item Template

  • Navigate to Reports → + Add Report.

  • Select Detailed Line Item as your template.

2. Set the Date Range

  • Choose the date range that matches your commission period.

3. Customize the Report

  • Click Customize Report.

  • Under Report Data, set it to Staff Name.

  • Under Rows Grouped By, select Service Name or Service Product Name (depending on how you want the data grouped).

4. Adjust Columns

  • Add Service Product Usage Cost next to Net Service Sales.

  • Remove or add any additional columns as needed.

  • Click Update to apply your changes.

  • Once satisfied, click the green “Save Changes” button in the top-right corner to save the layout for future use.

5. Rename and Organize the Report

  • Click the edit icon next to the report title.

  • Update the report name and select the appropriate folder for easy organization (e.g., Commission Reports).

6. Export for Commission Calculation

  • Click the three-dot menu → Export → CSV or Excel to download the report.

  • Use the exported data to calculate commissions based on profit = Net Sales − Product Cost.

💡 Tips

  • Add a filter for Line Item Type to include only Services, or use the Net Service Sales column to ensure you’re viewing only service-related sales—excluding gratuities and other non-service data.

Set Commission Overrides

  • Set the commission override for these services to 0% if you don’t want Boulevard to include them in the service commission totals on the Summaries page.

  • Any commission that factors in product costs should be calculated outside of Boulevard using this report.

Apply Filters for Staff or Other Criteria

  • To focus on a specific staff member or other criteria, click Add Filter and apply the desired filters. This allows you to create and share staff-specific reports for better visibility.


Custom Payment Types Reconciliation (for Alle, Aspire, and Other 3rd-Party Programs)

The Custom Payment Types Reconciliation report helps businesses that use custom payment methods—such as manufacturer loyalty programs (e.g., Alle, Aspire) or third-party financing options—track and reconcile related revenue.

By comparing this report against data from the external platform, businesses can ensure that payments, redemptions, and reimbursements are properly tracked and accurately reflected in Boulevard’s reporting.


Option 1: General Overview of Custom Payment Types

Custom Payment Type Report - Total Amounts

Use this method for a summary view of revenue by payment type.

  1. Start with the Payments & Refund Report template.

  2. Adjust the date range as needed (you can modify this anytime in the same template).

  3. Click Customize Report.

  4. Under Report Data, set the report to be organized by Payment Method.

  5. Edit the columns as needed.

    • Most businesses only need the Transaction Amount column to view totals by payment method.

  6. Click Update to refresh the report.

  7. (Optional) Add filters to view only specific payment methods.

  8. When finished, click Save Report (top right).

    • Update the report title and folder location for better organization.


Option 2: Detailed Reconciliation (Line-by-Line by Client)

Custom Payment Type Report - Detailed View

Use this method to create a detailed report that breaks down custom payment types by transaction and client for line-by-line reconciliation.

  1. Start with the Payments & Refund Report template.

  2. Adjust the date range as needed.

  3. Click Customize Report.

  4. Under Report Data, set the report to be organized by ID.

  5. In Rows Grouped By, select Payment Method.

  6. Edit the columns to include:

    • Transaction Amount

    • Client Name

    • Order Number

  7. Click Update to see the changes reflected.

  8. Add a filter to narrow results to specific payment types—for example, filter for Alle to compare redemptions line-by-line against Alle’s reporting and identify discrepancies.

  9. Once satisfied, click Save Report and update the report title and folder for clarity and organization.


Filtering Out Liabilities from Revenue (Such as Redeemed Voucher Value)

Many medspas offer memberships and packages that create client liabilities—such as vouchers. These redemption amounts can be excluded from revenue reports to provide a more accurate, accrual-based view of your business’s financial performance.

The column "Net Sales (less vouchers)" will allow you to add in a value to many of the reporting templates to see (net sales - redeemed voucher values = Net Sales Less Vouchers) more clear picture of revenue.

Common report templates to customize by adding this column in would be Sales Summary, Service Sales, Detailed Line Item, Etc


Filtering On Custom Reports (Such as Service Specific Reporting)

You may want to filter data to analyze performance of specific services, staff, types of sales, etc. Do this by adding a filter to any applicable report you are wanting to focus on specific data for. A common use case would be wanting to see specific services performance

  1. Start with a service sales report

  2. Adjust the date frame as desired

  3. Add filters for which ever specific service category or services

  4. Ensure you select "save report" to come back to this report and save the current layout and filters

Optional: Title and save report to applicable filter to make organization more effective
