How to adjust and deactivate gift cards.

Adjusting Gift Card Balances

You can manually redeem or add value to a gift card balance from both the Sales tab and the client’s profile.

From the Sales Tab

  1. Navigate to the Sales tab and click the Gift Cards section.

  2. Find the gift card and click the balance.

  3. Click the green edit button, enter the new balance, and a reason (optional), and click Update Balance.


    IMPORTANT: Max balance for a gift card is $1,000. If a gift card was previously sold with a balance greater than $1,000, you cannot add value to the gift card.

  4. All balance adjustments are visible from the Gift Card History.

  5. A new order is created to indicate when the balance has been adjusted.

From the Client Profile

  1. Open the client’s profile and click the Payment Methods tab.

  2. Under Purchased Gift Cards, find the correct gift card and click the balance.

  3. Click the green edit button, enter the new balance, and a reason (optional), and click Update Balance.


    IMPORTANT: Max balance for a gift card is $1,000. If a gift card was previously sold with a balance greater than $1,000, you cannot add value to the gift card.

  4. All balance adjustments are visible from the Gift Card History from the Sales tab.

  5. A new order is created to indicate when the balance has been adjusted.

Privileges

Control who can adjust gift card balances with the “Edit Gift Card Balance” privilege. Edit privileges in your Manage Business settings under Privilege Groups.

Deactivating Gift Cards to Recycle Them

When a client has used up most of their balance, you don’t want to waste your branded gift card or throw it away. Now, you can recycle physical gift cards by deactivating and wiping the balance from both the Sales tab and the client’s profile.

From the Sales Tab

  1. Navigate to the Sales tab and click the Gift Cards section.

  2. Find the gift card, click the menu dropdown, and select Deactivate.

  3. Confirm that you are sure you want to deactivate the card. The new balance is $0 and this action cannot be undone. Click Deactivate to confirm.

  4. The deactivation is now visible from the Gift Card History.

From the Client Profile

  1. Open the client’s profile and click the Payment Methods tab.

  2. Under Purchased Gift Cards, find the correct gift card and click Deactivate.

  3. Confirm that you are sure you want to deactivate the card. The new balance will be $0 and this action cannot be undone. Click Deactivate to confirm.

  4. The deactivation is now visible from the Gift Card History section in the Sales tab.

Privileges

Control who can deactivate a gift card with the “Deactivate Gift Card” privilege. Edit privileges in your Manage Business settings under Privilege Groups.

Reporting

  • Gift Card Redemptions Report - The “Active Filter” is set to “True” by default to only see redemptions of active gift cards. Select “False” within the “Active” filter to view any redemptions of deactivated gift cards.

  • Product Sales Report - All gift card adjustments can be found in the Product Sales report. By default, the “Gift Card” filter is disabled to only show product sales. Enable that filter to view any gift card adjustments.
