Permission groups

Details on how to create, assign, and manage Permission groups (formerly, Privilege groups)

Overview

Every Boulevard user is assigned to a permission group (formerly “privilege group”) that controls what they can see and do in the Boulevard dashboard and professional app. Default groups include Admin, Location Manager, Front Desk, and Service Provider—with Admin having full access and others offering more limited permissions.

You can create custom groups or edit the defaults to manage staff access in your workspace.

Creating a permission group

  1. In Business settings (gear icon), click Permission groups to view your groups, see how many staff are assigned to each, and edit, duplicate, or delete them. To create a new group, click Create permission group.

  2. Name the group, give it a brief description, and apply IP restrictions (if desired). Check out this article for more on setting up approved IP addresses in Security.


  3. To assign permissions that impact staff access to all locations across your business, toggle on “Allow business-wide permissions”.

  4. Use the categories or search bar to find specific permissions. Some permissions depend on others being enabled. When you're done, click Save. Your new group will appear alphabetically in the group list. For details on each permission, see the Permissions glossary below.

Note: Permissions control staff access to both the Boulevard dashboard and Professional App.

Editing, duplicating, deleting groups

To edit, duplicate, or delete a permission group, click the three-dot menu next to the group in the list.

Note: When deleting a permission group, you will be prompted to reassign staff within that group, to a new group prior to deletion.

Assigning staff to permission groups

A staff member’s permission group is assigned or modified in the staff profile.

Go to the Staff tab, open a staff profile, then elect the desired Permission group from the dropdown to assign. When done, Save Changes.

If you are duplicating services and roles from an existing staff, the permission group and staff role will automatically populate.

Location manager

Edit individual location details, staff, products, ratings, and ‘other’ payment types.

Staff can sign into the dashboard and make changes to assigned locations only. Without Business manager access, they can’t make global changes.

Manage billing

View business and location Boulevard invoices, manage billing, contacts and payment methods.

Must have Business manager or Location manager permission to view business / location invoices, respectively.

Payment processing

Allow access to merchant details for assigned location.

Can view and make changes to all merchants for specific location(s).

Manage agreements

View, confirm, or terminate legal agreements in the Security tab.

Owner or admin can “agree” to the BAA within the dashboard. Clicking “accept” allows the PDF BAA to be printed.

Owner or admin credentials are required.

View and edit client notifications

View and manage client notification settings.

Disabled: Client notifications tab in Manage location menu is hidden.

Must have Location manager permission enabled.

Log into the Boulevard Professional pro app.

Note: Staff must be added by the owner or admin using a unique email to receive a Pro app login invite. The email can match their web app login. Once a password is set in either app, the same credentials work for both.

Front desk

Access the Front Desk page.

Manage schedule

Access to manage staff schedules and resource schedules.

Enabled: Staff can adjust staff and resource schedules through both the schedule settings and Calendar.

Disabled: Staff cannot make schedule or resource changes in either the schedule settings or Calendar.

Recommended to also have View client list enabled. If it isn’t, staff can still perform this action by clicking the client’s appointment card and clicking the client name through Front desk view.

View client list

View client first and last names.

Disabled: Clients tab is hidden in top menu.

View client contact information

View and edit client contact information, tags, and personal information in Client profile.

Boulevard Pro app: Displays phone number and email address

Boulevard dashboard: Displays phone number & email address (and opt in or out of reminders), referral source, client tags, and personal info (birthday, home address, and emergency contact info).

Disabled: Hides client’s email and phone number on the Clients tab, in Calendar appointment details, and in Checkout. It also hides the sidebar in the client profile, preventing access to edit or view details such as email, phone number, address, referral source, and tags.

Note: Tags can still be added or edited during checkout in the web app.

View client notes

View the Client notes section of a Client profile.

Enabled: Can view the complete history of client notes.

Disabled: Client note history is hidden.

Must have “View client list” enabled.

Modify client notes

Add, edit, or delete Client notes, medications, and allergies in Client profile.

Enabled: A text box appears, allowing the user to enter client notes, medications, or allergies.

Disabled: The text box for entering client notes is hidden.

Must have View client notes enabled.

View client gallery

View images in a client's gallery in Client profile.

Enabled: Access the client's photo gallery, allowing staff to view and compare images.

Disabled: Restricts access to the client's photo gallery. The user will not see the gallery option in the client profile.

If the images are linked to forms or charts, the staff must also have permission to view those forms or charts (refer to view form settings).

If the images are associated with an appointment, the staff must have permission to access that appointment (refer to appointment privilege settings).

Modify client gallery

Add, edit, or delete images in a client's gallery.

Enabled: Can modify images in the gallery, including downloading, printing, and uploading images.

Disabled: Cannot take any action on the images in the gallery, but can view only.

Must have View client gallery enabled.

View client last name

Staff can view a client's last name in client profile.

Export client list

Export the list of clients from the Clients tab.

Must have View client list enabled.

Merge client profiles

Allow staff to merge client profiles in the Clients tab.

Disabled: Staff will see the “Merge clients” option, but is not clickable.

Must have View client contact information enabled.

Grant vouchers

Add vouchers to a client’s balance without an order.

Edit gift card balance

Add or remove vouchers or value from a gift card.

Checkout appointments

Apply payment, sell products, edit, and checkout appointments.

Must have View appointments permission.

Other payment method

Allow checkout with 'Other' as payment method.

Adds an option in the Checkout flow labeled “Other”, allowing the staff to complete checkout and apply a payment method beyond cash, card, gift cards, or credits.

Manage “Other” payment types

Create and edit payment types under “Other” tab.

Staff can choose from existing alternate payment methods or create new payment type during the checkout flow.

Must have Other payment method permission.

Adjust price

Allow price adjustment for services and products. Staff can manually modify the price of a service during Checkout.

Disabled: Still permits discounts to be applied, which would be accounted for in the Offers & Discounts report.
