Schedule Entries Report

Overview

The Schedule Entries report helps you see when your staff are scheduled to work across any time period. It shows each scheduled shift's start and end time along with total hours, so you can confirm shift coverage and review scheduling by staff member or location before the week begins.

Use this report to view shift schedules, plan staffing coverage across the day, and track total scheduled hours per staff member. It's especially useful for checking that workload is distributed evenly across your team, since you can compare shift allocation by staff, role, or location to spot anyone over- or under-scheduled.

Note: This report reflects scheduled shifts only, not booked appointment activity — it shows who is supposed to be working and when, not how the shift was actually filled. It also shows the schedule as it currently stands: cancelled or deleted shifts don't appear, and there's no history of prior edits. A staff member with a split shift (morning and evening on the same day) will show as two separate rows, so their daily total is the sum of both rows, not either one alone.

Prerequisites

Before using this report, make sure the following are in place. These directly impact whether you can access the report and how accurate the data will be.

  1. Permissions: You must have the appropriate Data & Reporting permissions enabled to see this report: Staff Operations reporting > Schedule & Attendance - Self or Everyone

    • If you don’t see the report, check your permissions first - see Reporting Permissions for more information.

  2. Location and Access Scope: What you see in the report depends on your access:

    • You’ll only see data for assigned locations

    • Row-level access may further limit visible data

    • If it looks like data is missing, verify your location assignments and access settings.

  3. Required Setup: For the report to show meaningful data, your time tracking workflows must be set up correctly:

    • Timeclock must be enabled in your Manage Location Settings

    • Staff clock in and out times must be recorded (via the Professional App or Dashboard)

    • Time blocks and appointments should be scheduled for each staff member for accurate records.

Report Caveats

There are a few important caveats and limitations to be aware of when using this report. Use these details to better understand how the data behaves and how to interpret it correctly.

Details and Impact

Each row is one scheduled shift, not booked activity

This report shows shifts on the staff schedule: who is supposed to be working and when. It says nothing about how the shift was filled; appointments and time blocks live in the Schedule detail report.

Cancelled or deleted shifts are not included

The report reflects the schedule as it currently stands. Shifts removed from the schedule do not appear, and there is no history of schedule edits.

Split shifts appear as separate rows

A staff member working a morning and evening shift the same day has two rows. Their daily total is the sum of both; per-shift durations are not their day total.

Overnight shifts count on their start date

A shift crossing midnight belongs to its scheduled start date, and its full duration lands on that date's totals.

  • Sort by: Staff Name then Shift start time.

  • Filters: Shift date = the day; Location Name = the location.

  • Sort by: Shift start time and read overlapping shifts as coverage depth; windows with few or no active shifts are the gaps. (Coverage is read visually; no coverage measure exists.)

Total Hours Tracking

Track total scheduled hours for each staff member across the selected period.

  • Filters: set Shift date to the week.

  • Group by: Location Name, Staff Name.

  • Columns: Duration Hours.

  • Sort by: Duration Hours descending.

Workload Distribution

Compare how shifts are distributed across staff, roles, or locations to ensure balanced scheduling.

  • Filters: set Shift date to the period.

  • Group by: Location Name, Staff Role Name.

  • Columns: Duration Hours. (Drill to Staff Name grouping within a role to spot individuals out of balance with peers.)
