Register Closeout Entries Report |
Overview
The Register Closeout Entries report helps you review cash drawer reconciliation results by day or by individual closeout activity. It shows one row per drawer count — including expected cash, counted cash, and variance — so you can validate cash handling accuracy at the register level, not just at a daily total.
Use this report to confirm counted cash matches what the system expects at closeout, track cash inflows and outflows through the drawer, and reconcile bank deposits against what was actually paid out. It's useful for staff accountability and staying audit-ready, since you can identify which staff member performed each closeout and surface repeat discrepancies across shifts or locations.
Note: This report covers physical cash only — card, gift card, and other tender types aren't included, so cash sales here won't match totals in your sales reports. It's also one row per drawer count, not per day: a single day can include multiple closeouts (end of day, shift change, mid-day check), so daily totals may combine several entries. Cash Variance is Ending Balance minus Cash Expected — a positive value is an overage, a negative value is a shortage. See the Report Caveats section below for how Starting Balance is derived rather than directly entered.

Report Caveats
There are a few important caveats and limitations to be aware of when using this report. Use these details to better understand how the data behaves and how to interpret it correctly.
Caveats | Details and Impact |
One row per drawer count, not per day | A single day can have multiple closeout entries: end of day, shift change, or a mid-day check. The Description field shows the reason entered at count time, so daily totals may combine several counts. |
Cash only | This report covers physical cash movement in the drawer. Card, gift card, and other tender types are not included, and cash sales here will not match total sales reports. |
Positive variance is an overage, negative is a shortage | Cash Variance is the counted amount minus the expected amount. More cash than expected shows positive; less shows negative. |
Ending Balance is the physical count, Cash Expected is the system's mathEnding Balance is what was actually counted in the drawer. Cash Expected is what the system calculates should be there from recorded transactions. The gap between them is the variance. | Ending Balance is what was actually counted in the drawer. Cash Expected is what the system calculates should be there from recorded transactions. The gap between them is the variance. |
Starting Balance is derived, not entered | Starting Balance is calculated backward from the ending count and the period's recorded flows rather than captured as its own entry, so it inherits any counting or entry errors from those figures. |
