Appointment Line Items Report

Overview

The Appointment Line Items report helps you see exactly which services are being booked and how often, at the individual service level within each appointment. It breaks appointments down into their component services so you can analyze demand, add-ons, staffing patterns, and cancellations service by service rather than at the whole-appointment level.

Use this report to identify your most popular services, understand how add-ons are attached to appointments, and spot cancellation patterns tied to specific services. It's especially useful for scheduling decisions, since you can filter by service, staff, or location to see where demand is growing, where it's declining, and where staff requests are concentrated.

Note: Each row in this report represents one service within one appointment, not one appointment — a single appointment with three services appears as three rows. Use Appointment Count and Service Count together to keep appointment-level and service-level totals from being conflated. See the Report Caveats section below for more on how forecasted vs. final sale amounts should be used.

Prerequisites

Before using this report, make sure the following are in place. These directly impact whether you can access the report and how accurate the data will be.

  1. Permissions: You must have the appropriate Data & Reporting permissions enabled to see this report: Appointments Reporting > Appointments - Self or Everyone.

    • If you don’t see the report, check your permissions first - see Reporting Permissions for more information.

  2. Location and Access Scope: What you see in the report depends on your access:

    • You’ll only see data for assigned locations

    • Row-level access may further limit visible data

    • If it looks like data is missing, verify your location assignments and access settings.

  3. Required Setup: For the report to show meaningful data, services must be configured in the service menu and appointments checked out for services to appear.

Report Caveats

There are a few important caveats and limitations to be aware of when using this report. Use these details to better understand how the data behaves and how to interpret it correctly.

Details and Impact

Use Forecasted Net Sale Amount for future appointments and Final Net Sale Amount for completed appointments

Both fields populate for all appointments, but each is meaningful in a different context. Use Forecasted Net Sale Amount when analyzing future-dated or booked appointments that have not yet been checked out — it reflects the expected sale value at the time of booking. Use Final Net Sale Amount when analyzing completed appointments — it reflects the actual net sale after discounts and adjustments were applied at checkout. For future appointments, Final Net Sale Amount will be zero. For completed appointments, Forecasted Net Sale Amount will still show a value but should not be used as it no longer reflects the actual transaction. Do not add both fields together as they represent the same service and will double-count revenue if combined.

Forecasted Net Sale Amount does not reflect all post-booking changes

Forecasted Net Sale Amount updates when services are added or removed from the appointment before checkout. However, it does not pick up all checkout-time changes such as manual price overrides, offer or discount code applications made at checkout, or certain amendment adjustments. For the most accurate revenue picture of a completed service, always rely on Final Net Sale Amount.

This report is at the service line item grain — each row is one service within one appointment

Each row represents a single service within an appointment. A single appointment with three services will appear as three separate rows. Use Appointment ID to group all services belonging to the same appointment. Use Appointment Count to count distinct appointments and Service Count to count individual service rows — these will not match for multi-service appointments.

Requested Staff Name reflects who was requested — not who performed the service

Requested Staff Name captures the staff member requested by the client at the time of booking, if a preference was made. This is not necessarily the staff member who delivered the service. To see who performed the service, use Service Provider Name. If no staff member was requested, this field will be blank.

Final Net Sale Amount excludes fees and gratuity

The Final Net Sale Amount calculation explicitly excludes line items of type Fee and Gratuity. This means tips and any additional fees charged on the order are not included in this field. If you need a total that includes gratuity and fees, reference the order-level totals in the Sales reports.

Staff with restricted report access only see services they are directly associated with

Staff with restricted client data access will only see appointment service rows where they are the assigned staff member, the requested staff member, the staff who booked the appointment, or the staff who cancelled the appointment. Services on appointments with no association to them will not appear. Operators and staff with full report access see all rows.
