The Wallet tab in the Client Profile gives you a complete view of your client’s payment details, balances, and transaction history all in one place. It’s designed to make it easy for your team to manage cards on file, vouchers, account credits, product units, and gift cards.
By keeping everything organized in a single tab, you’ll save time, reduce checkout errors, and deliver a smoother experience for both staff and clients.
How to access Wallet
You can open a client’s Wallet tab from two places:
Client profile:
Go to Clients.
Search for the client’s name.
Open their profile.
On their profile, select the Wallet tab.
Appointment details and checkout:
Click the client’s name in the appointment details.
Once in their profile, select the Wallet tab.
What's included in Wallet on a client's profile
Cards on File
The Cards on File section lets you view, add, and remove saved payment cards. Each card includes the card brand, last four digits, cardholder name, expiration date, and the date it was added.
Add a card:
Select Add a credit card, then swipe the card or enter the details manually.
Remove a card:
Click the three-dot menu next to the card and select Delete card.
If a client is paying for a membership, their membership card will also appear here.
Vouchers
The Vouchers section lists all active vouchers for the client. You’ll see details like quantity, eligible services, associated memberships or packages, and expiration dates.
Edit a voucher:
Click the three-dot menu, choose Edit voucher, then use the pencil icon to update the expiration date.
Void a voucher:
Select Void to permanently remove it.
View or reactivate expired vouchers:
Click View Expired Vouchers, then select Reactivate next to the voucher you want to restore.
Account Credits
The Account Credits section shows all client credit activity, including current balances and transaction history.
Adjust a balance:
Click Modify Balance, enter the new total, and include a brief reason for the change. Select Save to apply.
View credit history:
Choose View Account Credit History to see all transactions, including sales dates, credit types, order details, and balances.
View credit sources:
Switch to the Sources tab for a lifetime total of all credits earned or applied (e.g., membership, packages, purchases, referral rewards, or manual adjustments).
Product Units
The Product Units section tracks all prepaid products. You can quickly see how many units a client has purchased, what’s been used, and what’s still available to redeem.
Gift Cards
The Gift Cards section displays both active and expired gift cards.
Adjust a gift card balance:
Click the three-dot menu next to the card, select Modify Balance, and enter the new amount and reason for the adjustment.
Deactivate a gift card:
Select Deactivate to permanently disable the gift card. It will remain visible in the client’s Wallet, but it can no longer be used at checkout or edited.
