Client Memberships Report

Overview

The Client Memberships report gives you a full view of every membership subscription on your account and its current status — active, paused, or canceled. Use this report to see who's on a membership, what they're paying, and where each subscription stands, without digging into individual client profiles one at a time.

Use this report to answer day-to-day questions like who's currently on a membership, which memberships are past due or canceled, and how much recurring revenue your membership base is generating.

Past-due and billing follow-up

Identify memberships that are behind on payment so staff can follow up.

Term and renewal tracking

See how long a client has been on a membership and when it renews.

Prerequisites

Before using this report, make sure the following are in place. These directly impact whether you can access the report and how accurate the data will be.

  1. Permissions: You must have the appropriate Data & Reporting permissions enabled to see this report: Client Reporting > Client Subscriptions

    • If you don’t see the report, check your permissions first - see Reporting Permissions for more information.

  2. Location and Access Scope: What you see in the report depends on your access:

    • You’ll only see data for assigned locations

    • Row-level access may further limit visible data

    • If it looks like data is missing, verify your location assignments and access settings.

  3. Required Setup: For the report to show meaningful data, membership plans must be created and sold to clients.

By default, the report groups by Location Name and filters to Membership status = Is Active.

Report Caveats

There are a few important caveats and limitations to be aware of when using this report. Use these details to better understand how the data behaves and how to interpret it correctly.

Details and Impact

The report defaults to Active memberships only

To see paused, past-due, or canceled memberships, remove or change this filter — otherwise they won't appear even though they exist in the underlying data.

"Cancellation Scheduled" will display an “Active” status until on or after the cancellation date to which the status will update to inactive

When a membership is marked as Cancellation scheduled, it remains active until its scheduled cancellation date. Because the membership will end instead of renewing, the Next renewal date field displays null.

Membership status reason is a free-text/attribute field, not a fixed list

Because Membership status reason and Cancellation reason capture the reason behind a status change, values will vary by how the change was made (client request, staff action, failed payment, etc.).

Subscription lifecycle tracking

View each membership's full lifecycle from sale through renewal.

  • Group by: Client Name, Subscription ID.

  • Columns: add Original order date, Start date, Next renewal date, Current Term End on, Term number.

  • Filters: filter by Location Name as required.

Churn & cancellation analysis

Identify memberships that have churned or are scheduled to cancel.

  • Columns: add Cancellation date, Scheduled cancellation on, Cancellation reason, Cancellation Initiation Date.

  • Filters: filter Membership status to Canceled (and Cancellation Scheduled, pending the status-behavior caveat above).

Membership performance auditing

Validate MRR/ARR and pricing consistency across plans and locations.

  • Group by: Membership Name.

  • Columns: Membership MRR, Membership ARR, Membership Price, Renewal cycle.

  • Filters: filter by Location Name or Location Group to compare across sites.

Staff-level membership attribution

See which staff are selling memberships and how those memberships perform.

  • Group by: Staff Name, Staff Role Name.

  • Columns: Membership Count, Membership MRR.

  • Filters: filter by Staff Name to isolate one seller.

Client-level membership insight

See an individual client's subscription details and billing timing.

  • Columns: Membership status, Next renewal date, Original order date, Paused date.

  • Filters: filter by Client Name to isolate the client.

Operational membership management

Support front desk workflows — billing corrections, renewal notices, paused-membership follow-up.

  • Columns: add Membership status reason, Next renewal date, Paused date.

  • Filters: filter Membership status to Past Due or Paused, as needed for the workflow.
