Overview

The Time Block Entries report provides a detailed, record-level view of all time blocks logged for staff in your Dashboard. It captures when staff are marked unavailable, the duration of each block, who created it, and the reason provided.

Use this report to monitor how blocked time affects staff availability and bookable capacity, investigate scheduling patterns, and ensure time blocks are being used appropriately across your locations. It's especially useful for capacity planning, utilization impact analysis, and identifying unusual or excessive blocking that could affect revenue or service delivery.

Prerequisites

Before using this report, make sure the following are in place. These directly impact whether you can access the report and how accurate the data will be.

  1. Permissions: You must have the appropriate Data & Reporting permissions enabled to see this report: Staff Operations Reporting > Schedule & Attendance

    • If you don’t see the report, check your permissions first - see Reporting Permissions for more information.

  2. Location and Access Scope: What you see in the report depends on your access:

    • You’ll only see data for assigned locations

    • Row-level access may further limit visible data

    • If it looks like data is missing, verify your location assignments and access settings.

  3. Required Setup: For the report to show meaningful data, staff must have time blocks created on their schedule (via the Dashboard or Professional App).

Report Caveats

There are a few important caveats and limitations to be aware of when using this report. Use these details to better understand how the data behaves and how to interpret it correctly.

Details and Impact

All time blocks are counted regardless of schedule overlap

This report does not adjust time blocks based on whether they overlap with a staff member’s scheduled shift. A time block is counted in full even if the staff member is not scheduled during that time. As a result, blocked hours may differ from the Attendance Report, which only counts time blocks that overlap with scheduled shifts.

All time blocks are counted regardless of appointment overlap

If a time block overlaps with an appointment, both are counted independently. No segment-based deduplication is applied. This report reflects raw time block data and does not adjust for overlaps with appointments.

Time blocks appear for both scheduled and unscheduled staff

Staff members do not need to have a scheduled shift to appear in this report. Any staff member with a time block in the selected date range will be included. This differs from the Attendance Report, which only includes staff with scheduled shifts.

Cancelled time blocks are included by default

Time blocks with a status of “cancelled” are included in the report. Use the Status filter to exclude cancelled records if only active or completed time blocks are needed.

Date filter is based on time block date

The date range filters based on when the time block occurs, not when it was created. To filter by creation date, use the Created Date field.
