Before you get started:
If you're a single-location business, you can suspend, deactivate, and reschedule a staff member directly at the location-level.
If you’re a multi-location business, suspend the staff member at the business level first. Then, have each location manager reassign that staff member’s upcoming appointments to other team members at their respective locations.
At the business level:
Go to Manage Business and click the Employees tab.
Select the staff member to open their profile.
Click Suspend in the bottom-left corner.
Suspending a staff member prevents them from signing in, being booked, or appearing in your schedule settings. This process works well when a staff member is let go, on leave, or taking an extended vacation.
It ensures their appointments are properly reassigned and prevents future bookings without permanently removing their profile.
If you click 'Deactivate' you will see a warning if they have upcoming appointments that need to be rescheduled. We recommend suspending the staff member to reschedule their appointments before deactivating their account fully.
After suspending the staff member, you’ll be redirected to the Active Employees screen. Use the filter in the top right to select Suspended and reopen the staff member’s profile.
Click Appointments to see all upcoming appointments across locations. To reschedule any of them, switch to the staff member’s profile at the location level.
Appointments are listed in chronological order, starting with the soonest and ending with the latest.
If you have any open appointments, they will also appear here.
At the location level:
Click Staff to view the active staff list.
If you have already suspended the user at the business level, use the filter in the top right to select Suspended.
Click into the suspended staff member’s profile.
Navigate to the Appointments tab to view and reschedule their upcoming appointments.
Appointments are listed in chronological order, starting with the soonest and ending with the latest.
If you have any open appointments, they will also appear here.
In the Actions column, click View on Calendar to see the appointment on your schedule.
The suspended staff member will appear greyed out, and their availability windows will no longer be visible.
To reassign an appointment:
Drag it to another staff member on the calendar, or
Click into the appointment to manually edit and reassign it.
Once all appointments for that day are rescheduled, click the suspended staff member’s image and select View Profile.
Go to the Appointments tab and continue rescheduling any remaining appointments.
When all appointments have been reassigned, return to the staff member’s profile and click Deactivate.
Deactivated users can be reactivated anytime by using the Deactivated filter in the staff list.
To reassign a staff member’s appointments at one location:
If a staff member is transferring to a different location, you can reschedule their upcoming appointments at the original location—even if they are not suspended.
Reassign all upcoming appointments from their profile at the location level.
Once all appointments are reassigned, update their profile at the business or location level to remove booking availability at the original location.
This ensures they can no longer be scheduled at the previous location but remain active elsewhere.
