Overview

The Membership Sales report helps you track new and recurring membership sales across your locations and plans. It captures every membership charge event — sale amount, discounts, refunds, and tax — broken out by plan, category, staff, and location, so you can measure revenue and volume without needing to look at status or lifecycle data.

Use this report to monitor overall membership revenue, evaluate which staff and plans are driving new versus recurring sales, and review refund activity to spot potential churn or operational errors. It's especially useful for comparing performance across locations and membership categories, since you can see which plans are generating growth and which locations show rising refunds or declining new sales.

Prerequisites

Before using this report, make sure the following are in place. These directly impact whether you can access the report and how accurate the data will be.

  1. Permissions: You must have the appropriate Data & Reporting permissions enabled to see this report: Financials reporting > Sales - Self or Everyone

    • If you don’t see the report, check your permissions first - see Reporting Permissions for more information.

  2. Location and Access Scope: What you see in the report depends on your access:

    • You’ll only see data for assigned locations

    • Row-level access may further limit visible data

    • If it looks like data is missing, verify your location assignments and access settings.

  3. Required Setup: For the report to show meaningful data, a membership must have been sold to at least one client.

Report Caveats

There are a few important caveats and limitations to be aware of when using this report. Use these details to better understand how the data behaves and how to interpret it correctly.

Details and Impact

"New Membership Sale" = the initial purchase; "Recurring" = all future renewals

This is commonly confused. New Membership Sales captures the first-time purchase of a membership plan. Every subsequent monthly charge for that same membership is a Recurring Membership Sale — not a new one.

This report does not show membership status or subscriber health

Membership Sales only shows charge events — it has no visibility into whether a membership is currently active, paused, past due, or cancelled. For membership status and lifecycle metrics, use the Membership Summary report.

Counts are line items, not clients

New, recurring, and total membership counts tally charge line items. A client billed multiple times in the period counts once per charge. Use the client count measures (New membership client count, Recurring membership client count) for unique buyers.
